Who this is from

Jonathan D Barnes, doing business as Citadel Heritage, is an independent licensed insurance producer (NPN 21719380), licensed in Colorado, Illinois, Louisiana, Ohio, South Carolina, Texas and Washington. This policy covers citadelheritage.com and the ways you can reach us through it. It explains what we collect about you, where it comes from, what we do with it and the choices you have.

This website, and the systems we use to call, text and email you and to keep our records, are provided to Jonathan D Barnes by The Place for Life LLC, which runs them as our service provider and handles your information only to run those services for us. Jonathan D Barnes is the party you are dealing with about insurance.

Where your information comes from

Forms on this site. What you type into them: your name, phone number, email address, date of birth, state, the coverage you are interested in, and anything else you choose to tell us, such as a beneficiary.

Ads on Facebook and Instagram that name us, when we advertise there. These are placed for us by Vivarium LLC, which places ads on those sites for licensed agents who use the same platform, and each ad names the one agent it is for. If you fill in the lead form on an ad that names us, Meta passes what you entered, such as your name, phone number, email address and state, and whether you ticked the form’s consent box, through Vivarium LLC’s advertising account to us and to no other agent.

Companies that collect insurance enquiries, known as lead providers. We may buy the contact details of people who asked a lead provider about insurance. We may call or email those people, but we do not add them to our automated text messages unless they later agree to receive texts from us.

Our calls, texts and emails with you: what you tell us, including anything you tell us about your health, whether you replied, whether you booked a time, notes about your insurance needs, and recordings and transcripts of calls. What you tell us may be passed to the licensed agent you are dealing with, including by text message, so that they can prepare for your appointment.

What your browser sends when you submit a form here: your IP address, the date and time, and your browser and device. We keep these because, together with the wording you were shown, they are the record of when and how you gave permission to be contacted.

Insurance applications and sensitive information

If you apply for insurance, the application may ask for your date of birth, information about your health and your Social Security number. The insurance company uses these to decide whether it can offer you coverage and at what price, which can include checking medical and prescription records as part of its underwriting.

We use this information only to seek, obtain and service coverage for you. We share it only with the insurance companies considering your application and those who help us place it with them, such as a general agency through which Jonathan D Barnes is appointed, and where the law requires it, as described below. We never sell it and never use it for marketing.

Please do not send us your Social Security number, bank or card details, or details about your health by text message or email. If an application needs them, the licensed agent will go through with you how to give them as part of the application.

Information you give us about other people

If you tell us about someone else, such as a beneficiary or a family member, please share only what you are allowed to share. We use it only in connection with the insurance you asked about.

Why we use it

To answer the request you made: to talk with you about life insurance, prepare quotes, arrange an appointment if you want one, and help you apply for and keep your coverage.

To contact you by phone, text and email in the ways you agreed to.

To keep the record of that permission, which we must be able to produce, and to meet our other legal and licensing obligations.

Calls, recordings and our assistant

Calls with us may be recorded and transcribed. The recording and the transcript are kept as the record of what was said.

Some of our calls and texts are handled by an automated assistant that uses artificial intelligence and works for Jonathan D Barnes. It is not a person, and it will not claim to be one. Any appointment it books for you is with a licensed insurance agent.

We do not sell or share your information for anyone else’s marketing

No mobile information will be sold, rented or shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third party, except the service providers who help deliver the messages you asked for.

We do not sell your personal information, and we do not hand it to anyone who wants to market their own products to you.

Who does see it

Insurance companies and their underwriters, when you ask us to get a quote or submit an application for you.

The Place for Life LLC, which builds, hosts and maintains this site for us and runs the systems we use to call, text and email you and to keep our records, and the providers used for that work: website hosting and analytics, data storage, the security check on our forms, the calendar our appointments are booked in, and the services that place, deliver and handle our calls, texts and emails, including the technology behind our automated assistant.

Anyone we are legally required to give it to, such as a regulator, or in response to lawful process.

Our lawyers, auditors and insurers, and anyone else where we need it to establish, exercise or defend a legal claim, or to protect the rights, property or safety of you, us or others.

A business that buys or takes over our insurance business, which must then handle your information as this policy says.

If you came to us through a Facebook or Instagram lead form, Meta already holds what you entered on that form, under its own privacy policy, and it reached us through Vivarium LLC’s advertising account as described above.

Text messages

Our automated text program sends you marketing texts only if you joined it on this website: on our quote form, by ticking the consent box and then entering the one-time code we text you, or on a personal booking link we emailed you, by entering the code we text you. The screen where you enter the code shows our full consent disclosure. That disclosure is stored with the date and time, your IP address and your browser.

Filling in a lead form on Facebook or Instagram, or a lead provider passing us your details, does not by itself add you to our automated texts.

If you ask us on a call to send you a text, our automated system sends only what you asked for, plus confirmations and reminders for an appointment you book. That does not sign you up for our automated marketing texts.

The licensed agent you are dealing with may also text you personally about the insurance you asked about. Reply STOP to any text and our texts to you stop.

If you text us, our assistant may answer you, and if the conversation then stops before a time is booked it may send you one message checking back, about a day later.

Reply STOP to any text to stop them, or HELP for help. Message frequency varies. Message and data rates may apply. The full rules of our text program are in our Terms at citadelheritage.com/terms.

Emails

Our marketing emails carry an unsubscribe link. Using it stops them.

Opting out, and what ends an opt-out

When you opt out by text or by email, we record it as a request to stop all our marketing to you, by phone, text and email. Your number and email address go on our do-not-contact list, and our marketing calls, texts and emails to you stop.

That stays in place until we have new permission to contact you on that number. New permission is: joining our text program again on this website with the code we text you, which lets calls, texts and emails resume; replying START or UNSTOP, or telling us on a call that we may text you, which lets the text you asked for and appointment confirmations and reminders resume, and nothing else; or your details reaching us again, with a new record of your permission to be contacted, from a company that collects insurance enquiries or entered by us, which lets calls and emails resume but not our automated texts. This applies to the opt-out record we keep after a request to delete your information too.

Visiting this site

This site counts page views with its hosting provider’s analytics tool, which tells us which pages are visited and how often. We look at those numbers only in total. This site does not carry advertising trackers.

Our forms may use a security check from Cloudflare to block automated abuse. It looks at technical details of your browser and device for that purpose only, under Cloudflare’s own privacy policy.

This site does not change how it works when your browser sends a Do Not Track signal. We do not use this site to follow you across other websites or to target advertising at you there.

When you follow a link from this site to a site we do not run, such as an insurance company’s, that site’s own privacy policy applies there, not this one.

How we protect it

We use reasonable administrative, technical and physical safeguards to protect your information. No system is perfectly secure, and we cannot promise that information will never be accessed without permission.

How long we keep it

We keep your information while we are working with you, and afterwards for as long as we need it for the purposes in this policy or the law requires us to keep it.

Records of your consent and of our texts and emails with you are kept for at least four years, and transcripts of our calls for about four years, because that is how long we may need them to show that we contacted you lawfully. Recordings of calls are held by the company that provides our calling service.

Your choices

You can ask what we hold about you, ask us to correct it, ask us to delete it, or withdraw your permission to be contacted, at any time, at no cost, and without it affecting any coverage you already have.

If you ask us to delete your information, we delete it except for what we must keep: the proof of your consent and the records of our messages and calls with you, for the period described above; the records a licensed insurance business must keep about any policy you hold; and a record of your opt-out, so that we do not contact you again unless you later give us new permission, as described above. We do not use what we keep to market to you.

Depending on where you live, your state’s privacy law may give you further rights, such as a copy of your information in a portable form, and we will honour them. We will verify who you are and respond within 45 days, and tell you if we need longer. You may use an authorised agent to make a request for you. If we turn a request down, you may ask us to reconsider by replying to our answer, and we will review it.

To make any of these requests, email jonbarnesffl@gmail.com, call (618) 726-8581, or reply to any text or email from us.

Children

This site is not directed to anyone under 18, and we do not knowingly collect information from anyone under 18. If a parent or guardian gives us information about a child, for example to name them as a beneficiary, we use it only for that purpose.

Changes

If this policy changes we publish the new version here with a new version number and date. This is version 4, in effect from September 30, 2026.
